How I migrated WFTA's academy site off LearnWorlds

The World Food Travel Association had an academy running on LearnWorlds. My job was to get it off, reorganise what was inside it, and leave the team able to run it without me.

The situation

Platform decisions made three years ago tend to outlive their usefulness quietly. The costs keep going out, the structure keeps getting more awkward to work with, and nobody has the time to unpick it. That is roughly where the academy site was.

What the work involved

  • Migrating the academy off LearnWorlds without losing content or breaking access
  • Reorganising the content structure so the material was findable rather than merely present
  • Rebuilding the pages for speed and clarity
  • Writing a handover playbook for the in house team

The handover

The part I am most pleased with is the least visible. The team at WFTA still run the site from the playbook I wrote. A migration that leaves an organisation dependent on the person who did it is only half finished.

Websites are included inside my retainers for exactly this reason. The site should not become a separate invoice every time it needs a change.

What I took away

Most website projects in this industry are not design problems. They are structure problems wearing a design problem as a disguise. Fix what goes where, and the visual work gets much easier.
